HubSpot implementation and onboarding

You bought HubSpot. Now your team has to use it.

Maybe the setup never got finished, the team still lives in spreadsheets, or you're paying for hubs nobody opens. I build HubSpot around how your team works, then teach them to run it.

HubSpot's required onboarding is coaching: They tell your team what to do, and your team does the work. When I implement, I do the build, the onboarding fee is usually waived, and training is included.

Fixed fee from $3,000. Scoped in writing before anything starts.

Who it's for

Two ways in, one process.

Same starting price.
First CRM or a new launch

We're starting from zero.

  • The foundation set up right from day one
  • Your app, website or payments sending data in
  • Emails, forms and tracking ready before launch

For founders and new teams. Startups are scoped to what they need now.

From spreadsheets or another CRM

We're moving in.

  • Your data cleaned and imported
  • Your sales process rebuilt, not copied
  • Your team trained on the new way of working

For teams leaving spreadsheets, an old CRM or a setup that never finished.

The design doc

You own the blueprint.

Most portals I'm called into have no record of what was built or why.

Fields nobody can explain. Workflows nobody dares turn off. Every engagement I run is built from a design doc, and when we're done, it's yours. Your next admin, hire or partner can open it and know exactly how your HubSpot works.

“The audit covered all of our deals, contacts, workflows, and more, all documented action-by-action and backed by a full build document, not just a high-level summary.”
Ryan T., Sales Development Manager, Hempfield Technology
  • Decisions logWhat we decided and why, in plain English.
  • Properties mapEvery field, what it's for, linked into your portal.
  • WorkflowsEvery automation, what starts it and who it notifies.
  • Build statusWhat's done and what's open. Nothing left to guess.
  • Next-phase menuIdeas for later, scoped and priced before you need them.

Handed over at the end. Yours to keep.

Every hub

Every hub, set up to work together.

One foundation, every hub.

Start with one hub or several. Each one is built on the same foundation, so adding the next doesn't mean starting over.

Smart CRM

The foundation every hub sits on.

Marketing Hub

Forms, email, lists and nurturing.

Sales Hub

Pipelines, sequences, meetings and quotes.

Service Hub

Tickets, help desk and surveys.

Content Hub

Website, landing pages and blog.

Data Hub

Syncs, cleanup and custom code.

Revenue Hub

Quotes, payments and invoices. Formerly Commerce Hub.

HubSpot Gold Solutions Partner.I work through a partner admin seat, so I never use one of your paid seats.

IT engineering services firm

Ngenium AI

“Working with Jonathan was a pleasure! … Collaborative planning, guidance and execution was flawless!”
Paul O., Director of Operations, Ngenium AI

Where they started

A new operations leader replacing spreadsheets with one place to track every engagement, from presale to invoice.

What I built

  • Right-sized Sales Hub Professional, seats and permissions
  • A pipeline from presales to invoiced, with margin and revenue recognized on every deal
  • PO, SOW and cost sheets on the deal record
  • Stage notifications to finance and delivery
  • How-to videos for the changes they make most

The result

Three weeks from kickoff to wrap-up. After the videos, Paul built his own notification workflows.

Homeschool PE subscription app

Shining Light Fitness

“Jonathan saved me lots of time, energy, and errors customizing HubSpot to meet our needs. I was able to stay focused on preparing for our launch while Jonathan implemented the build and guided the integration process.”
Amy B., Founder, Shining Light Fitness

Where they started

A founder launching a custom subscription app needed a CRM to automate sales reporting and marketing, live in under three weeks.

What I built

  • The right starter plan, chosen before she bought
  • Every new subscriber sent from the app and Stripe into HubSpot
  • A subscription pipeline, welcome emails and ad tracking
  • Recorded admin training and a written checklist

The result

Live before launch day. The first paying customers came through without a single correction.

KEEP THE PIN IN THE WHEEL · KEEP THE PIN IN THE WHEEL ·

After launch

Keep the pin in the wheel.

A lünse, or linchpin, is the small pin that keeps a wagon wheel on its axle. It's where this company's name comes from. Nobody checks it until the wheel comes off.

HubSpot works the same way. An ongoing service plan is the regular check that keeps everything turning. It's customized to your needs and to what we built.

Optional. Highly recommended.
  • New peopleUsers, permissions and training as your team changes.
  • New questionsReports and dashboards as leadership asks for more.
  • A changing HubSpotHubSpot ships updates every month and has renamed three hubs since 2024. I keep your setup current.

Buying HubSpot

Doesn't HubSpot include onboarding?

HubSpot charges a one-time onboarding fee on most Professional and Enterprise plans. When a Solutions Partner like me implements, that fee is usually waived. HubSpot's own onboarding is guided: Their coach tells you what to do, and your team does the work. With me, I do the work, then train your team on it.

How much does HubSpot implementation cost?

Implementation and onboarding start at $3,000. It's a fixed fee, scoped on our call and confirmed in writing before anything starts, so you know the number up front. Startups are scoped to what they need now.

Which hubs and seats do we need?

Usually fewer than the first quote. Before you buy, I walk through what your team will actually use this year, which tier each hub needs, and how many paid seats you need. View-only seats are free, and upgrading later is easy.

Do you take up one of our HubSpot seats?

No. As a HubSpot Solutions Partner, I work through a partner admin seat that gives me what I need to build. It never uses one of your paid seats.

How the work goes

What's the difference between HubSpot implementation and onboarding?

Implementation is the build: Setting up HubSpot around how your business works. Onboarding is getting your team using it: Training, handoff and confidence. I do both, in that order.

Can HubSpot connect to our app, website or payment system?

Usually, yes. I start with HubSpot's native integrations and marketplace apps. When those fall short, I connect it myself, like a custom app and Stripe sending every new subscriber into HubSpot.

We already have data in spreadsheets or another CRM. Can you move it?

Yes. I clean it before it comes in, map it to the new setup and import it, so you don't start your new portal with old duplicates.

My HubSpot login is stuck on an old company account. Can you help?

Yes, and it's more common than you'd think. A HubSpot login follows your email across every account, so an old one can get in the way. We sort it out before kickoff so it doesn't stall the build.

After launch

What happens after launch?

That's up to you. An ongoing service plan is optional, and highly recommended. It's customized to your needs and to what we built.

Let's build it right the first time.

Thirty minutes. Tell me what you bought, or what you're about to buy. You'll leave knowing what to set up first.
